# Document Your Aftermarket Build Now, Not After the Impact

> An estimator values what the file proves. Build the ledger, shoot the wiring before it gets covered, and keep the invoices somewhere a claim can reach them.

Undocumented modifications get valued as if they were never installed, because an estimator has nothing to price. Keep a ledger of date, vendor, part number, cost, installer and hours, photograph every system during installation, and store itemized invoices off the unit. Update the record whenever anything is added or removed.

## The short answer

An estimator prices what the file supports. If the file is empty, the unit gets written as it left the factory, and the solar array, the wiring and the fabrication you added simply are not there. Documentation is the only thing that moves a build out of your memory and into a claim. Start a ledger, photograph each system while it is still open, keep itemized invoices, and update the record every time the build changes.

## Why an undocumented build gets valued as a stock one

Estimating and valuation systems are lookup tools. An estimator enters a chassis and a configuration, and the system returns parts, labor operations and a value based on what the manufacturer built. Anything added afterward exists in the system only if somebody types it in, and somebody will only type it in if there is a document to type from.

This is not adjusters being difficult. An adjuster who adds value with no support is creating a problem for their own file at audit. Give them an invoice and they have authority to act. Give them a description and they have an opinion, and opinions do not survive review.

The result is predictable. Owners who spent two seasons building a system watch a valuation come back describing a stock unit with mileage. The equipment was real, the loss was real, and the paperwork was the missing link. Recovering afterward is possible but slow, and it usually costs an appraisal fee that would have bought a decent camera. Do it beforehand and the whole conversation shortens.

## Build a parts and labor ledger you can hand over

One spreadsheet, one row per item, and stop treating it as optional. The columns that matter:

- Date of purchase and date of installation, which are often different and both get asked about.
- Vendor name, plus the order number if it came from an online supplier.
- Part number and manufacturer model designation, exactly as printed on the box.
- Cost before tax and shipping, with tax and shipping in their own columns.
- Installer, named. A shop name and address, or your own name if you did the work.
- Labor hours and rate if a shop did it, or an honest hour count if you did.
- Whether the item was owner installed, which changes how an appraiser treats it.

Add a notes column for anything unusual: a part that superseded an earlier part, a component carried over from a previous unit, a piece that was fabricated rather than bought. Export the sheet to PDF once a quarter so a fixed version exists that cannot be quietly edited later. When a claim opens, this single file answers most of what an estimator needs before anyone starts arguing.

## Which photographs belong in the file

Photograph the build the way a service manual would.

Start with a wide frame of each installed system in its finished state: the array on the roof, the battery bank in its compartment, the rack on the rear wall. Then close frames of every serial plate and model tag you can reach, readable without zooming. Those tags are how an appraiser confirms a component is the one on the invoice.

The frames that matter most are the ones you can only take once. Wiring runs before they are covered. Fastener patterns and backing plates before the panel goes back on. Weld beads before paint. Adhesive layout before a floor drops in. Nobody thinks to shoot these, because at the time they are just work in progress, and afterward they are unreachable without disassembly.

Finish with a shot of the completed install in place and in use, with the unit identifiable in frame. ## Which documents carry the most weight

Itemized invoices lead. Not a receipt total, not a card statement, an invoice listing parts, quantities, part numbers and labor separately, on a business document with a name on it. That is what a valuation analyst can attach to a file without asking anyone for permission.

A written appraisal comes second, and it is the one that converts a pile of invoices into a single defensible figure. Appraisals age, so a build that has grown needs its number refreshed.

Structural additions need more. A fabricated rear rack, a swing-out carrier or a replacement bumper changes load paths and sometimes sensor behavior, so keep the fabricator's drawings, material specifications and any engineering documentation supplied with the design. Power systems need a wiring diagram. One page showing the source, fuse or breaker sizes, conductor gauge, bus locations and the loads. ## How to keep the record current as the build changes

A record that stopped being updated a season ago is a record with a hole in it, and the hole is always the newest and most expensive component.

Update at the moment of each modification, not at some quarterly review you will skip. The habit that works: the invoice goes into the ledger the same day the box is opened, and the photographs go into a dated folder before the tools are put away.

Keep a copy off the unit. A binder in the same cabinet that burns is not documentation. Use cloud storage, an external drive kept at a different address, or both, and confirm each season that you can still open the files.

Record removals as well as additions. An appraiser who finds an inverter on the ledger and an empty bracket on the unit will discount the whole document. Note the date something came out, where it went, and what replaced it. ## What a shop can reconstruct when the file is thin

Not everything is lost when documentation is missing, because the hardware is its own evidence. At intake we photograph and catalog what is physically present: model tags, serial numbers, conductor gauge, breaker ratings, mounting hardware, weld quality and material thickness on fabricated pieces. Those observations go into the file with images attached.

From there we can identify components by tag, cite current supplier listings for equivalent parts, and estimate the labor hours a competent installation of that scope would take. That is not the same as an invoice, but it is a documented technical position rather than an owner's recollection, and carriers commonly treat it as such.

What cannot be reconstructed is anything consumed in the loss, and anything hidden behind a surface that burned or crushed. Wiring routed through a wall that is gone is gone.
