The short answer
The first estimate is a guess written from the outside of the unit. Teardown replaces the guess with a measurement. Whatever the estimator could not see, bent reinforcement, a corroded fastener, a cracked mount, becomes a new line, and those lines travel back to the carrier as a supplement. Read it line by line. The additions are usually correct. The risk sits in what was removed, retyped or downgraded while the additions took your attention.
Why does the first estimate rarely survive teardown?
An estimate written at the scene, in a storage yard or from a set of phone images is a visible-damage document. The estimator prices what the eye can reach: the cracked fascia, the scraped panel, the broken lamp. Behind those parts sit brackets, absorbers, reinforcements, wiring looms and adhesive joints that carried the same load and show it only after the outer skin is removed.
Impact energy also travels. A hit at the rear corner can load a frame rail and surface as a door gap two bays forward. Nothing about that is visible with the trim in place. Carriers know this, which is why the supplement process exists at all, and why an initial number should be read as an opening scope rather than a final one.
The practical consequence is that owners who treat the first figure as the repair cost end up surprised twice: once at the number and once at the calendar. What actually happens in the bay during a teardown
Teardown is a documented disassembly, not demolition. The sequence on a typical quarter-panel impact runs like this.
- Protective covers go on adjacent panels and glass before a tool comes out.
- Trim, fascia, lamps and mouldings come off in reverse assembly order.
- Every fastener goes into a labelled bag tagged to the assembly it came from, with clip counts noted, because broken clips become line items.
- Damaged substrate gets photographed in place, from three distances, before anything is cut, pulled or straightened.
- Measurements come next on anything structural, with readings compared against factory dimensions and printed for the file.
Only after all of that does a technician decide whether a panel is repairable or has to come off. The order is deliberate. Once a section is cut, the original condition cannot be re-created, and a reinspector arriving later has nothing to look at. A teardown that skips the photo step is a teardown that will lose an argument. Owners are welcome to see their unit at this stage, and it is honestly the most informative twenty minutes of the whole repair.
Which line items show up on a typical supplement?
Bent inner reinforcement is the most common single addition, followed by the fasteners and clips that shattered during removal. One-time-use hardware shows up constantly: crush bolts, stretch fasteners, plastic rivets and sealing washers that manufacturers specify as replace-on-removal.
Beyond parts, the added labor operations tend to repeat. Blend time into the adjacent panel appears whenever a color needs to break at a natural edge instead of a seam. Additional setup and measure time appears when a pull is required. Sublet calibration appears when a camera, radar or leveling sensor sits behind the repaired area. Hazardous material handling appears on anything involving refrigerant, adhesives or coolant. Cover and mask time appears on every refinish job and is routinely thin on a first estimate.
Materials get corrected too. Seam sealer, cavity wax, weld-through primer and corrosion protection are consumables the original document tends to underprice. If a panel is coming off entirely, expect the supplement to reference the full procedure described under panel replacement, including the substrate preparation nobody sees once the paint is on.
How much time does supplement approval add?
Plan on days, not hours, and understand where the days go. The shop assembles the request: photographs keyed to each line, the measurement printout if structure is involved, and references to the manufacturer procedure that requires the operation. That packet is what shortens the cycle. A supplement submitted without procedure references invites a callback, and a callback invites a week.
The adjuster then reviews. Carriers commonly turn a well-documented supplement in two to five business days on a routine collision file. If the addition is large, or if the file has already been supplemented once, a reinspection may be ordered, and a physical reinspection adds whatever the local schedule allows.
Parts ordering waits on approval, and that is the real schedule driver. A backordered reinforcement approved on a Friday still arrives when it arrives. Because labor is billed against posted rates, a longer cycle does not change the hourly figure, and our posted labor rates stay the same whether a job runs one week or four. What changes is how long the bay is occupied.
What should you read before you approve it?
Three checks, in this order.
First, tie every added operation to a photograph. If a line says bent inner reinforcement, there should be an image of that reinforcement, bent, still in the unit. Ask for the photo by line number. A shop with a clean file produces it in a minute.
Second, compare the supplement against the original estimate side by side and look for subtractions. Estimating software renumbers lines when a document is revised, and an operation that appeared on the first estimate can disappear without any note. Refinish hours and cover-and-mask time are the usual casualties.
Third, read part numbers and part type codes. A line that read OEM on the first document and now reads aftermarket, recycled or reconditioned is a material change, and the price difference belongs to somebody. Part type also affects fit time. Approve in writing, by email, referencing the document version and its revision date.
Who talks to the carrier, you or the shop?
Both, with different jobs. The shop argues procedure. We send the photographs, the measurements and the manufacturer position statement that says a fastener is replace-only, and that is a technical conversation between an estimator and an adjuster. Most of it happens without the owner in the thread, and that is normal.
The owner owns two things the shop cannot: the policy and the authorization. Coverage questions, deductible application, rental provisions and any dispute about what the policy actually promises run through the named insured. If a carrier declines an operation the shop considers necessary, the owner is the party who can escalate, request a reinspection or invoke the appraisal provision in the policy.
Keep the paper trail in one place and copy the shop on carrier email so nothing is relayed secondhand.
